Can an AI write my emails for me? How an AI email assistant works with Gmail and Outlook

Yes, an AI can write your emails. The better question is how much of the job you want it to take on, and whether you can set that per person. Here is how it works, and how MyPA handles it.

In short

  • Yes, an AI can write your emails, and the better question is how much of the job you want it to take on for each person.
  • MyPA connects to Gmail and Outlook, so email from every account is read and answered in one place.
  • For each contact you choose one of three rules: auto-reply, draft a reply for your approval, or leave that person to you.
  • MyPA only sends on its own for contacts you have set to auto-reply.
  • Every morning, or whenever you ask, MyPA summarises what came in, with an urgent item flagged first.

An AI email assistant is a tool that reads your inbox, works out what needs a response, and writes it in your voice. Some stop at a draft. Some can send. The good ones let you choose, and let you choose differently for different people.

Searches for an AI email assistant for Gmail or Outlook have grown quickly, and for good reason: most inboxes are a mix of things that need a real answer, things that need a quick acknowledgement, and things that need nothing at all. Sorting that by hand is where the hours go.

What an AI email assistant can do

  • Summarise. Tell you what came in, what is urgent and who is waiting on you.
  • Draft. Write a reply that sounds like you, ready to edit or send.
  • Send. For contacts and situations you trust it with, reply on your behalf.
  • Follow up. Notice that Sam asked if you are free on Saturday and remind you to answer.

What it should not do

It should not send anything you did not want sent. That is the whole game. An assistant that fires off replies to everyone is a liability, and one that never sends anything is just a nicer way to read your email. The right answer is a setting, per contact, that you control.

How MyPA handles your inbox

MyPA connects to Gmail and Outlook, so email from every account is read and answered in one place. For each contact you choose one of three rules in their settings: auto-reply, draft a reply for your approval, or leave that person to you. Your partner might be on "I’ll reply myself". A supplier who sends invoices might be on auto-reply. A client might get drafts you approve with one tap.

Every morning, or whenever you ask, MyPA summarises what came in: an urgent item flagged first, then what arrived in Outlook and Gmail, in a few plain lines each. Newsletters and receipts are mentioned, not dwelt on.

Nothing sends without you unless you have told MyPA that it can.

Gmail or Outlook: does it matter?

Not for MyPA. Both connect the same way, and you can connect both at once if you keep work and personal email apart. Each connection is scoped to what it needs, is opt-in, and can be switched off in one tap.

What about privacy?

Where MyPA routes a request to a cloud AI, the information needed for that task is sent to the provider, and data is encrypted in transit and at rest. Personal data is not sold to data brokers as part of ordinary service use.

Getting started

Download MyPA, connect Gmail or Outlook, and ask it to summarise your unread emails. Then open a contact and set their reply rule. Most people start everyone on "draft for my approval" and relax the rule for the contacts they trust. You start with 200 free tokens, and there is no subscription.

See the MyPA app for how it handles Gmail and Outlook.
